Private Missed Appointment and Late Cancellation Policy
We love new faces
As a new patient we will get you booked in for a new patient examination appointment first. You will be asked to pay for your first examination appointment at the point of booking the appointment to act as a holding deposit.
Your attendance is key
Once you have an appointment booked it is important that you attend, as your dental health is important to maintain, and these appointments can be used by other patients if you are no longer wanting to attend. If you are no longer able to attend your appointment, we ask for 48 hours notice to ensure we have time to refill the appointment. If you late cancel or miss an appointment without giving us notice as a private patient you are subject to a missed appointment fee. The fee is usually 50% of the deposit you have left to reserve the appointment.Missing or late cancelling a New Patient Appointment will be chargeable at the full amount of the appointment.Missing or late cancelling two appointments within 18 months may result in us not being able to offer you any further appointments.
Set off with plenty of time
We are a city centre practice and sometimes the traffic is bad! We request that you set off with enough time to allow for traffic. If you arrive late for an appointment, we may struggle to accommodate you, so there is a possibility you may be required to rebook and there may be a missed appointment fee.
Follow on treatment costs
Following your examination, if further treatment is needed you will be given a treatment plan with an estimated cost of treatment fees. You will be asked to pay a deposit of 50% of the next treatment cost at the time of booking. Patients undergoing specialist referrals may be asked to pay your full treatment cost prior to commencement of treatment and at the time of booking.

Change of Details
Please communicate to our reception team any change of contact detail so that we can always communicate updated treatment information and reminders of your appointment.
Communicating your cancellation or need to rearrange
We are more than happy to rearrange / cancel your appointment if done with 48hours notice. To do this you can come and see us in practice, you can call us on 01924 374092 or you can drop us an email to hello@toveylittle.co.uk. If you email us please ensure you have had confirmation back that we have received your email.
Abusive / Violent / Threatening Behaviour
At Tovey Little Dental the safety and well-being of our staff and patients is paramount. As such we have a zero-tolerance policy towards abusive, violent or threatening behaviour. If a patient displays any such behaviour, they will be immediately deregistered and will no longer offered any further appointments. We appreciate your understanding and cooperation in these matters.
In Summary:
- We will always take full payment for first appointments and a deposit towards future appointments.
- Always attend your appointments .
- Please give us at least 48 hours notice for a cancellation.
- If you late cancel / do not attend twice in 18 months you may not be able to book further appointments.
Appointment amendments by ourselves
Sometimes appointment times and dates may need to be changed for unavoidable reasons. We will make every reasonable effort to give you as much notice as possible. However, our maximum liability will be limited to a refund of the advance payment fee ONLY if a mutually convenient appointment cannot be agreed. Tovey Little will not accept liability for any additional costs or losses incurred by a patient or organisations, which are claimed to have arisen through treatment cancellation. Tovey Little reserves the right to vary arrangements for the delivery of a treatment plan and in such cases will make reasonable efforts to inform patients in advance.
Refund Policy
You may cancel a course of treatment provided you give us a minimum of 48 hours prior notice. If 48 hours prior notice is not received, we reserve the right to withhold your deposit, based upon the length of the appointment, to cover overheads. If a patient is receiving any treatment that involves laboratory work and initial work has been carried out i.e. if the patient is having crowns/bridges or a denture made, and the work has already been started or completed by the laboratory, a proportion of the deposit will be kept to cover the cost of the laboratory invoice. In the event of a deposit not being held, you shall be liable for the full lab fee. We can provide the lab invoice for reference. Refunds will be processed within 14 days after receipt and confirmation of your request/concern
